EBS Selects WorldView, LTD for Document Management Solution.
Brokerage firm Employee Benefit Specialists, Inc., signs contract with online document management service provider WorldView, LTD. to meet HIPAA requirements and streamline document storage and retrieval processes.
(Omaha, Neb. – June 20, 2005) WorldView, LTD, an Internet based document
management software and service provider has been selected by the Denver based
brokerage firm Employee Benefit Specialists, Inc. (EBS), as its online document
management provider.
As one of Colorado's largest, locally owned benefit
consulting and brokerage firms, the move to a paperless system was a necessary
one. Accessibility, security and cost were three driving factors in choosing a
hosted web-enabled document management solution.
“We analyzed a number of companies and their products, and determined that
WorldView could provide the best solution in both cost and performance,” says
Brenda Bailey, vice president and controller at EBS. “Their staff did the best
job of answering our questions and delivering exactly what we needed.”
Fred Meis, WorldView account executive, worked
extensively with Bailey to find the right solution to fit the needs of EBS. The
right solution was achieved by integrating WorldView’s document management
services, ImageView and ColdView with EBS’s ERP system. This solution allowed
EBS to meet HIPAA requirements, manage, store, retrieve and distribute their
important documents - all for a fraction of the price of an in-house model.
“EBS had an incredible need to go paperless,”
says Meis. “Our estimated return-on-investment during the detailed needs
analysis showed EBS’s projected annual costs savings to be more than $72,000.
Their ROI is estimated to be realized in just two
months.”
The Enterprise Content Management
solution’s (ECM) user-friendly, intuitive interface has eliminated hours of
filing and paper handling, allowing employees to collaborate and manage
documents more efficiently. “EBS handles an extensive amount of confidential
paperwork, including section 125 plans,” says Bailey. “With the current HIPAA
regulations, it is important for us and our customers that client information is
as secure and accurate as possible. In addition, WorldView’s online services
have streamlined our filing process, saving us time and manpower resources.”
As of April 1st, EBS has uploaded more than
21,000 COLD and scanned documents via the Internet to WorldView’s secure server.
“Eliminating our paper based filing system enables us to have any information we
need at our fingertips,” says Bailey. EBS is now able to instantly recall and
sort multiple documents and information by any number of methods, including
dates, key words or customer identification numbers.
The success of the EBS implementation was attributed to WorldView’s
Integration-Plus solution, enabling thorough investigative and individualized
solutions for each and every WorldView client. “We had to write extensive
database changes, add new database terminology and work with EBS’s third party
information system provider to complete the installation,” says Emily Ternus,
WorldView IT engineer. “The EBS feedback has been very positive. They appreciate
the convenience of document retrieval over the Internet.”
